Minutes of meeting held on 12 January 2022 at 7:00pm

2.       Minutes of AGM and previous meeting

Resolved to approve minutes of the November meeting.

 

3.       Finance Report

SR noting that the insurance quote has come through and is very similar to the last quote (£313.78) this was accepted and paid.

Noting funds held in the account including the new account to hold the letting deposits. Sandy is still trying to get the bank to add her to the account and the mandate, but is arranging for this to be done.

 

RL querying the position with the missing cheques (amount to £289) that were posted at the post office. SR has had three meetings with the bank without success and limited success with the post office. SR will prepare a report and attach her correspondence to show what has been done to trace the money and will circulate to the Committee. 

Also noting procedure has changed now so cheques are deposited directly at the bank.

4.       AOB Financial Matters

GP querying money was taken over Xmas and whether there was any money in the safe. MI noting approx. £30-35 in safe from shop on Dec 19.

 

 

5.       Shop Report

SR noting that the seeds have been ordered, these will be delivered to PG. Seed potato order has also been placed and this will be made alongside fertiliser and grow bags etc.

Meat raffle made a profit of £10.

7.       Website and Facebook Report

MI noting PG asked add a note to next newsletter re sale/ disposal of second hand equipment. MI asking if there are any other issues to be added to please notify him.  PG asking that seed potatoes to be arriving at the end of January to be added to newsletter.

8.       Update on DC and its future

PG reporting that Brian Collier is in charge of the refurb and he will update next week. Goods have been supplied free of charge. Small number of tiles purchased by PG.

Noting that a letter of thanks to go to company that supplied the goods – action BR.

Waiting until Brian is able to carry out the work – seems unlikely to commence before February. Might need to wait until the weather is warmer in any event.

Purchase of adhesive and grout – SR advising she is happy to purchase this as she has a discount with Topps Tiles. A list to be provided to SR who will arrange to purchase and collect.

9.       Report from plot letting committee

RL noting current waiting list 15 people. There are a few quarter plots that have become vacant.

 

RL noting the mentoring system – suggesting note out on FB and to be added to newsletter to ask for mentors who will get a brightly coloured post on their plot. GP aware of people who would be happy to take up mentoring roles.

 

RL noting that he is trying to set up a manure delivery from the Young Farmers lined up for later in the year.

TC to send RL a mist of plots that need to be monitored.

10.   Chinnor pump update, items for insertion

Lower carpark – not in a position to address at this stage. To be reviewed at February meeting.

 

Public seating and gazebo – PG has priced composite plastic approx. £288 (3 seater). MI asking about a wooden bench. PG noting wooden is likely to be cheaper – although may not have the same longevity. To be voted on at next meeting when BR is present.

 

Garage wall – BR had emailed to advise that parish council had been notified and they will get in touch with the occupant to ascertain the position. Will wait till next month for an update on the position.

  

Pruning – PG waiting for the weather to clear.

 

Plot 83F has requested to put up a new greenhouse similar to one already up – poly greenhouse 6x4. Committee happy to allow provided it complies with rules.

 

Plot 8 near the orchard – consider turning into a quarter plot as some parts cannot be remedied – with the area suggesting purchasing fruit trees to be espaliered. Agreeing to purchase 2 trees – 1 apple and 1 pear.

 

Gas heaters – TC concerned not working properly and advised not to use.
