Minutes of meeting held on 20th September  2023 at 7:00pm at the Distribution Centre

2.       Minutes of previous meeting

Risk Assessment to be added to the list of policies being introduced. 

A discussion was had about different ways we could stop the pilfering of crops. Suggestions made were that plot holders must carry CAGA membership cards, that gates should be closed and locked both on entry and exit or maybe a keypad on the gate.

The minutes were accepted and approved.

3.       Financial Report

Verbal report of the figures from Sandy.

Discussion about how we could improve the meat raffle. 

Several newcomers had given up their plots quickly and lost their deposits.  We discussed as to why this was happening and if we could to more to help.  It was decided that Jackie would phone plot holders before they were sent a 30 day notice email.

6.       Plot Lettings

 

6 people on the waiting list and 4 vacant plots. Tich has managed to rotavate a couple of plots which have been let.  The vacant plots need spraying and rotavating. Future plot holders  to be given the choice whether  to have their plot sprayed with weedkiller or not.

Midweek working parties

The next work party will be on Wednesday the 11th October  2– 4 pm. Mainly working on plot clearing.  Orchard grass to be cut.  All volunteers very welcome.

Mention on Facebook all future events, AGM, composting workshop, plot availability, associate membership and the meat raffle.

Newsletter to be sent out advising of Mid-week working party, rent increases, online payment details, AGM details, weekly raffle and composting workshop on the 29th October.

S106 Monies

We have submitted a S106 application to SODC in the name of CPC of quotes for the bottom carpark, French drains and a shredder.  CPC have sent the application off to SODC.

A thank you of card and flowers to be sent to Sue Ashdown of CPC.

Policies in progress.

 

 

 

 

Various policies (Environmental, Data Protection, Safeguarding which includes Code of Conduct) have been drafted and circulated for the committee to study and develop with a view to adoption by CAGA.  Risk Assessment policy should be carried out.

Committee to read the drafted policies and send comments to MI asap.

The plan is to sign policies at next meeting.

Potential date is 24th October Jackie to book the Pavilion. 7pm for a 7.30 pm start.  (Now confirmed)

Shop stock take needs to be done before hand.

Proposed to have a 33% rent increase. A £15 plot will then cost £20.   5 people in favour 1 against.

CCTV  Tich recommended ‘swan’.  This is ongoing subject and further discussion needed about what our requirements are.

 

Consider a plot holder survey when membership cards are issued, suggestions for questions to be considered for next meeting.

 

Plaques have been obtained by Rod for memorial trees and they should be mounted on wood. SR to ask another if he could do this.
